ACA Executive Board Elections occur annually the 3rd Wednesday in November.
SOME THINGS TO KNOW ABOUT OUR ELECTIONS PROCESS
TO RUN FOR POSITION:
MUST BE ACA MEMBER IN GOOD STANDING FOR THE CURRENT YEAR
MUST NOT BE AN EXECUTIVE BOARD MEMBER OF ARDEN BEACHES, INC (ABI)
MUST BE A SUNRISE BEACH LOT OWNER*
IMPORTANT NOTICE:
IN ORDER TO VOTE, YOU MUST BE AN ACA MEMBER IN GOOD STANDING FOR THE CURRENT YEAR PAID BY 15 DAYS PRIOR TO THE MEETING AT WHICH THEY WISH TO VOTE.
Position Terms (Per ACA By-Laws)
Article IV - OFFICERS & ELECTIONS, Section 3:
The election for the offices of Vice President and Secretary will be held at the November meeting during odd numbered years. The election for the offices of President and Treasurer will be held at the November meeting during even numbered years. Before the election, the slate of nominees shall be presented. Other nominations may be made to the floor.
*This requirement is due to the voting position that ACA holds on the ABI Board. In order to vote on the ABI Board, you must be a Sunrise Beach lot owner. This requirement applies to the Executive Board positions only.
Board Position Descriptions
Duties of the President:
The President is the chief executive official of the association and ensures that its Constitution, By-laws and decisions are faithfully observed and executed. In addition, the President has the following duties:
The President officiates the meetings of the ACA.
The President appoints members of standing or special committees and representatives or delegates of ACA and their alternates to serve at the pleasure of the President.
The President serves at the ACA Representative on the Arden Beaches, Inc. (ABI) Board of Governors or appoints an Executive Member of the ACA Board of Governors to serve in his/her absence.
The President will nominate an officer to fill a vacancy on the board to be voted on by the membership.
The President represents ACA on any occasion, makes or authorizes statements on behalf of ACA, and cast votes on behalf of ACA.
The President shall serve as or appoints a member to serve as the editor of the NewsBuoy.
The President is responsible for the membership drive and may recruit members of the Executive Board and membership to assist in the membership drives.
The President is responsible for the annual budget preparation process with the input of the Executive Board and assistance of the Treasurer for detailed account expenditure records.
Duties of the Vice President:
The Vice President assists the President in the administration the ACA and will undertake duties as the President assigns. In addition, the Vice President has the following duties:
The Vice President will run the meetings of the ACA in the absence of the President.
In the event of the removal, disqualification, disability or death of the President, the Vice President will assume the duties of the President for the remainder of term of office.
Duties of the Secretary:
The Secretary takes notes and produces meeting minutes, and serves as the custodian of records for the ACA.
The Secretary performs other duties assigned by the President and the general membership.
Duties of the Treasurer:
The Treasurer receives and gives receipts for all monies received by the ACA, and disburses funds as authorized by the ACA, the Executive Board, or the general membership. Duties include:
Assists the President in maintaining membership records for each calendar year.
Performs duties of the President during the absence of the President and Vice President.
Works together with the Executive Board on annual budget preparation and monthly spend planning, providing detailed historic expenditure records for the budget development process.
Produce account status financial reports monthly and for presentation at each regular ACA meeting.
Represents ACA with federal and state agencies and may make or authorize statements on behalf of the ACA.
Assist with annual audits of the ACA.
Arranges for internal audits every January.
Prepares financial data and works with a CPA if necessary for timely submittal of official federal and state annual filings for the ACA.
Duties of Section Delegates/Representatives:
Section Delegates faithfully represent the ACA, working directly with the President and the Board prior to presenting publicly on behalf of ACA.
Section Delegates serve as liaison between the section they represent and the ACA Board on matters related to the community to include infrastructure improvements, safety concerns, community outreach, etc.
Section Delegates work with ACA Committees to assist in community outreach efforts in the respective section assigned to represent.
